Buying a Diamond or Gemstone: A Documentation Checklist
A beautiful stone deserves a clear description. Before making a decision, bring the item, the report, and the seller's statements into the same conversation.
Establish what is being offered
Ask for the material name and relevant origin designation. Clarify whether a gemstone is natural, synthetic, laboratory-grown, or an imitation as applicable.
For a multi-stone piece, identify which components the description covers.
Request the complete report
Read the laboratory name, report title, number, and issue date. Review results and comments together rather than relying on a cropped image or a few grades in a listing.
If no report is available, identify which important claims remain unsupported and discuss whether an appropriate examination is needed.
Compare the report with the actual item
Ask how the stone is matched with the document. Measurements, identifying features, and an inscription may contribute where available.
If substitution or alteration is a concern, seek qualified assistance. An online lookup alone does not examine the item.
Separate facts from additional claims
List any statements about treatment, geographic origin, sourcing, or special quality that go beyond the report. Ask what supports each one.
Some claims may depend on separate documents. Others may remain uncertain. Keep that distinction visible as you decide.
View under useful conditions
Compare the actual stones where possible. Ask whether images show the precise item and understand how lighting affects the presentation.
Consider the intended setting and practical care, not only the appearance in an enlarged photograph.
Confirm the commercial details
Obtain the seller's applicable purchase and return terms in writing. If you need additional documentation for a particular purpose, arrange it separately.
Keep what you relied on
Save the complete report, written description, images, invoice, and relevant correspondence. Record any later work on the item.
The objective is a decision supported by an accurate description, complete records, and answers to the questions that matter to you.
